ARRC2011: Silent Auction wrap up

5 April 2011

199 items. $6197.50 raised. A success! Thank you to all involved.

It has been a long time since 16 January when we opened up the Silent Auction to raise money for the Queensland Flood victims. I was initially apprehensive as to whether or not we would get enough items, but the following morning when I opened the email, I understood how special the worldwide romance community was and the fact they wanted to help flood victims in my home state of Queensland.

As the list of items grew, we faced the task of adding them to the blog. There were some days where Debbie and I spent 10 hours at the computer, organising items, preparing blurbs, checking that the items were correct before their appearance on the blog for conference delegates to view before the Silent Auction so that they could plan a strategy for auction day. We had to tinker with the items as the authors added something special or extra. We added them, and added them until there were 195 on the blog. At the auction we had four additional items to add.

The days passed and the packages arrived. Helen, who allowed her home to be overrun with auction items, would email and announce the latest item to arrive. And then there were those we hadn’t listed! The authors who had sent a donation and we had to wait for its arrival! I’m so glad it wasn’t me who had to box up the items and bring them to Bondi!

Then came Friday 25 March—set-up day—and I looked at the boxes and boxes of items, the bid sheets and the room. Would there be enough room for all of the items? We took the set up slowly. Firstly placing the bid sheets out, then slowly unpacked the items, double checking that the items were correctly placed on the bid sheets. Then to look over the room to make sure it was ready for Saturday.

The Silent Auction room all ready to go. Each of those white sheets represents an item to bid on. And the tables go right around the room so there are more items out of the picture.

Saturday saw a slow beginning, the excitement of the convention being uppermost in delegate’s minds, but by the time morning tea happened, bids were being placed. A steady stream of traffic throughout lunch, afternoon and then in closing hour of the auction was encouraging. As the time drew for the auction to close, people hovered over their desired item in anticipation that someone else might outbid them at the last moment. Then it was closed.

It took longer than we thought to calculate the winning bids (a note for the next one), but we managed to get most of the items to people before the Awards Dinner. And there were some very happy people. On the Sunday, we finished the hand over of items to their new owners. I have been able to follow up most authors who were sending their items directly to the winning bidder, so expect items in your inbox or letter box soon.

I would particularly like to thank the volunteers who helped make the Silent Auction a success: Debbie Phillips – for listing blog items; Helen – for the use of her home to collect the items; and my amazing team of helpers on the day—Rose Sprinkart, Barbara Evans, Sonya Foster, Laine Brown, Raquel Pickering, Lami Mentzas, Vikki Fox, Aimee Brooker, Christine Earnest, Mei Lim, Sharon Sherry, Marg Bates, Pamela Diaz, Melanie McMillan, Sarah Calder, Jennifer Terwiel and Erin Cunningham.

We raised just under $6200 for the Queensland flood victims. Well done ARRC participants and an enormous thank you to the generous romance community worldwide.

Thanks to Heather for pointing out all the great writing craft items on offer. I was chuffed to win a number of critiques and the Kate Walker book that had been highly rated by the wonderful Anna Campbell recently.

I’m looking forward to my deliveries from Miss Maggie Andersen when her new book is out and from Karen Kendall.

While it was all in a good cause – I came away with some amazing things thanks to the team’s efforts!

    Cheers
    Sharon

A big thank you to the organisers – it ran very smoothly, appeared entirely professional, so I can only imagine the stacks of work that went into organising it behind the scenes. Well done, the lot of you! It’s quite awesome, knowing you were part of something that will really help those affected by the floods. I’m sure they’ll appreciate the fact that they haven’t been forgotten in favour of the next news story. My thoughts and prayers are with them.
